Equihoof Pty Ltd is serious about protecting your privacy. This policy sets out how we collect, store, use, disclose and otherwise handle the personal information you provide through our website at www.equihoof.com.au . We handle that information in accordance with the Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles. This policy may be updated from time to time.

What personal information do we collect, and why?
Personal information is information or an opinion about an identified, or reasonably identifiable, individual. Through this website we generally collect:
Contact and identification information such as your name, address, property location, telephone and mobile numbers and email address.
Enquiry and booking information, being what you tell us in an enquiry form, booking form or intake questionnaire, including your horse's age, breed, workload, management and health history, and the details of your veterinarian or farrier where you give them to us.
Photographs and video you upload of hooves, limbs, the horse moving and the environment it lives in.
Payment information, being the amount, date and status of your payments. Card details are entered directly into Paypal and your full card number is never seen or stored by us.
Account and purchase information, being your login details, order history and access to any course or membership you hold.
Technical information such as your IP address, approximate location, device and browser type, the pages you view, and how long you stay.
Email preferences, being your subscription status and which of our emails you open and click.
We do not seek sensitive information through this website, and we do not knowingly collect information about anyone under sixteen without a parent or guardian providing it.
How do we collect your personal information?
Generally we collect it directly from you, through the completion of a form on our website, an upload you send us, an account you create, a purchase you make, or an exchange by email, telephone or social media.
We may also collect it from third parties we work with, from a person who books a consultation on your behalf, or from publicly available sources including social media and business listings. We only collect personal information from other sources where it is unreasonable or impracticable to collect it directly from you.
You are under no obligation to provide your personal information, and if you do not, we may not be able to provide our services to you.
Why do we need your personal information?
We collect, hold, use and disclose your personal information where it is reasonably necessary for:
Assessing your horse and preparing the report or recommendations you have asked for
Communicating with you and answering your questions
Processing orders, invoices and payments
Managing your account and your access to any course or membership
Internal operations including accounting, reporting and business analysis
Improving this website and the material we publish
Creating marketing or case study content, and only with your consent
We may also use your information for purposes related to these uses where you would reasonably expect it, or where the law requires or permits it.
What happens to the photographs you upload?
We use the images you upload to assess your horse, prepare your report, and compare hooves across consultations so we can track change over time. We store them with your file and we do not publish them.
The files you send often show more than the horse, including you, other people at a shared property, vehicles, signage and house numbers, and they usually carry embedded location and date data. We treat every file you upload as personal information and handle it accordingly.
We share images with your veterinarian, farrier or another professional only where you have asked us to or consented. We may disclose information without your consent where we reasonably believe it is necessary to prevent a serious threat to the health or safety of a person or an animal, or where the law requires it.
We use your images, your horse or your case in marketing, teaching material, social media or published case studies only where you have given separate written consent. Accepting this policy is not that consent. Where you do consent, we remove identifying signage, number plates and house numbers, we do not name you or your property unless you agree, and you can withdraw consent at any time. Once you withdraw we stop using the material and remove it from anything we control, though material already printed, downloaded or shared by other people cannot always be recalled.
If your images show other identifiable people, you confirm you have told them and they do not object. You keep ownership of everything you upload.
Cookies and tracking
This website uses cookies and similar technologies to keep the site working, remember your preferences, keep you logged in, understand how the site is used and measure our advertising. The tools we use are Google Analytics 4 and Meta Pixel, and their own terms of service govern their handling of that data.
These tools record information including your IP address and device identifiers, which can amount to personal information, so we treat it that way rather than describing it as anonymous.
You can block or delete cookies through your browser settings, and parts of the site including checkout and member areas will stop working if you do. Where the site shows a cookie banner, your choices there control the non essential cookies we set.
Who do we disclose your personal information to?
We may disclose your information to:
The platforms that run this website and our business, being our website host, booking system, payment provider, email platform, file storage, course and membership platform and accounting software
Anyone you have asked us to deal with, such as your veterinarian or farrier
Our advisers, contractors, insurer and anyone who works with us, all of whom are bound by confidentiality
Parties involved in a sale or restructure of our business
Government agencies, courts and regulators where the law requires or permits it
Your information is never sold, rented or distributed to third parties for their own marketing.
Overseas storage. Some of the platforms we use store data outside Australia, most commonly in the United States. Before we use a provider we take reasonable steps to confirm it handles personal information consistently with the Australian Privacy Principles.
Direct marketing
We send marketing only where you have consented, or where you are an existing client who would reasonably expect to hear from us about related services.
Every marketing email identifies us and includes a working unsubscribe link, and we action unsubscribes within five business days. You can also opt out at any time by contacting us at hello@equihoof.com.au
Order confirmations, report delivery, invoices and account notices are not marketing, and you will keep receiving them while your account is active.
Security of your personal information
We take reasonable steps to protect your personal information from misuse, interference, loss and unauthorised access, including password protection, multi factor authentication, encrypted storage and transfer where our providers offer it, restricted access, and confidentiality obligations for anyone who works with us.
No system is completely secure, so anything you send us over the internet is sent at your own risk.
If we become aware of a data breach we assess it within thirty days, and where it is likely to cause serious harm we notify you and the Office of the Australian Information Commissioner as soon as practicable.
How long do we keep it?
We keep consultation records, reports and uploaded images for seven years from your last consultation, financial records for at least five years as tax law requires, and enquiries that do not proceed for 2 years.
When your personal information is no longer needed and we are not required by law to retain it, we destroy or de-identify it.
Accessing and correcting your personal information
You have the right to access the personal information we hold about you and to ask us to correct it or delete it. Contact us at hello@equihoof.com.au We may ask you to verify your identity and to be specific about what you need.
We will respond within thirty days. Correcting your information is free. Access is also free, although where a request is large or complex we may charge a reasonable amount to cover our costs, and we will tell you the amount before we do the work.
We may need to keep some information where the law requires it or where it relates to a current claim, and we will tell you what we have kept and why. There are limited grounds on which we can refuse access, including where it would unreasonably affect another person's privacy, and if we refuse we will tell you why in writing.
Privacy complaints
If you have a concern, contact us at hello@equihoof.com.au All complaints will be taken seriously, handled promptly and confidentially, and will not affect your existing relationship with us.
We will acknowledge your complaint within five business days and respond within thirty days. If you are unhappy with our response, you may contact the Office of the Australian Information Commissioner at www.oaic.gov.au or 1300 363 992.
Other websites
This website links to other sites and platforms we do not control, including social media, payment pages and course platforms. Once you leave our site their privacy policies apply, not ours.
Changes to this policy
If we decide to change this policy we will post those changes on this page at www.equihoof.com.au/privacy-policy, and we will tell you before a significant change takes effect. We review it every year.
